This role independently ensures smooth department operations through highly confidential and professional executive support, necessitating a high degree of tact, discretion and diplomacy.

Primary Job Responsibilities

  • The Executive Assistant will independently plan, coordinate, and implement policies and procedures to support the Chief Ambulatory Officer (CAO), so that all regulatory requirements are met.
  • Acts as a communication liaison with UW Medicine leadership and community leaders as needed.
  • Communication and liaison with various stakeholders, ensuring clear conveyance of the CAOs messages and managing feedback appropriately.
  • Operate independently, make decisions and take actions with delegated authority to support high-level executives, including the CAO.
  • Managing time-sensitive communications, which requires the ability to quickly and accurately convey information to various audiences.
  • Meeting the demands of competing stakeholders, each with unique needs and expectations.
  • This role requires outstanding writing abilities and the ability to communicate verbally with senior leaders, staff, and the general public.
  • Records, composes and edits minutes of meetings as requested.
  • Independently managing both short-term tasks and long-term projects.
  • Handling highly confidential and sensitive information with the utmost discretion and professionalism.
  • Serves as a confidential liaison to the Chief Ambulatory Officer and manages the executive calendar and coordinates day-to-day activities of the Chief Ambulatory Office.
  • Independently arranges and coordinates committee meetings, special events, open forums, and other hospital activities.
  • Schedules appropriate accommodation, orders/operates equipment, and coordinates logistical activities as needed.
  • Utilizing various software and tools for document preparation, calendar management, and communication.

Required

  • Bachelors Degree in Business Administration, Communications, Healthcare Administration, or related degree.
  • 5 years experience supporting a C-level executive.
  • Equivalent experience may substitute for degree requirement.
