We are looking for an office manager to help keep daily operations running smoothly, supports staff and leadership, and maintains an efficient, welcoming workplace. You’ll coordinate administrative processes, manage office resources, and serve as a key point of contact for employees, vendors, and visitors.

Key Responsibilities

  • Oversee front-desk, mailroom, and reception functions.
  • Draft, edit, and distribute internal communications, reports, and meeting minutes.
  • Monitor building maintenance, security, and janitorial services; escalate issues to property management as needed.
  • Source, negotiate, and manage vendor contracts for office supplies, equipment leases, and service agreements.
  • Assist the finance team with invoice approval, cost tracking, and budget forecasting for office‐related expenditures.
  • Coordinate onboarding logistics for new hires.
  • Plan office events, team-building activities, and recognition programs.
  • Serve as the first point of contact for HR forms, policy questions, and time-off tracking.
  • Schedule executive calendars, travel arrangements, and expense submissions.

Qualifications

  • Associate’s degree, or related field (or equivalent experience).
  • 10+ years in office administration or facilities coordination; prior supervisory or vendor-management experience preferred.
  • Strong organizational and multitasking abilities; able to prioritize competing deadlines.
  • Proficient in Microsoft 365/Google Workspace; familiarity with basic accounting software and HRIS a plus.
  • Excellent written and verbal communication; professional phone and email etiquette.
  • Basic budgeting and expense-tracking knowledge.
  • Entrepreneurial drive and mindset operating in a fast-paced, high-growth environment
